This position is remote through early September. Effective Monday, September 13th, this position is considered partial onsite, 2-3 days in the office at 10 Brookline Place, Brookline, MA each week. DFCI guidelines state that employees must reside in Massachusetts, New Hampshire, or Rhode Island.
The Assistant provides administrative support for the Associate Director of Administration. The Administration team is responsible for personnel, operations, policy, and general office support for the Division of Philanthropy. Administration acts as the liaison to the Institute???s Human Resources Office, assisting managers and staff with the hiring process, professional development, and career guidance. In additional to staffing, Administration also manages facilities, telecommunications, mailroom, and operations for the Philanthropy Office and provides general office support to the Division. Responsible for assisting the entire Division with reaching financial goals.

PRIMARY DUTIES AND RESPONSIBILITIES:
Learning & Development (Center for Advancement Training):
Assist in planning and execution of professional development programs for the Division
Provide input on session design and delivery plans
Partner with Associate Director to draft and design Center for Advancement Training materials, including monthly calendar and worksheets
Partner with Associate Director to maintain learning database (SharePoint)
Review webinars and other external resources for quality and relevance
Data Tracking and Analysis:
Track internal and external session attendance; identify trends in levels and teams
Manage learning and development evaluations: create and send surveys; track and analyze feedback and trends
Prepare quarterly and annual reports in collaboration with Associate Director
Coordinate monthly Division Meeting including content preparation and follow-up
Assist with annual Campaign Retreat and Division-wide trainings??
Manage Center for Advancement Training inbox and calendar
Manage cohort-based internal distribution lists
Partner with Associate Director to coordinate meeting and training session logistics under the Center for Advancement Training umbrella
Compile data for year-end report
Provide administrative support for the Associate Director of Administration. This includes but is not limited to; calendar maintenance, reviewing and editing documents, responding to general administration requests and questions
Serve as backup for front desk responsibilities: answering phones, distributing mail, packages, faxes, etc.; provides coverage two (2) days a week from 4:30-5:30 pm
Reports to Associate Director of Administration. This position does not have any supervisory responsibility.
MINIMUM JOB QUALIFICATIONS:
Associate degree and/or administrative training degree required. As this level position is often considered a ???base??? for someone pursuing a career in Philanthropy, a Bachelor???s degree is preferred with 0-2 years administrative experience.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Solid computer skills and competency in Microsoft Office Suite products is necessary; working knowledge of PowerPoint, Excel, and SharePoint, as well as digital communication platforms such as Zoom, strongly preferred. Interest in human resources and/or learning and development is preferred.
Excellent written and verbal communications skills are necessary with a strong orientation to customer service. Superior organizational skills and ability to manage a variety of projects are key. Directed and self-starting attitude with the ability to work independently as well as part of a team and work with a variety of stakeholders.
This position will evaluate current programs and create and execute approved plans to expand and diversify the donors and participants for the events assigned in order to broaden our donor base and create even more inclusive events. Experience with diverse donors is a plus.
