FINANCIAL ASSISTANT 2 , Office of Engineering Outreach Programs (OEOP) (temporary, 6 months), to coordinate and perform complex and diverse operational and financial administrative activities, assisting the manager of finance and administration, finance and administration staff, and executive director. Will review, process, and/or track financial transactions, including reconciling accounts, purchasing, communicating, and maintaining electronic/paper records; monitor financial activity for general, fund, and research accounts; assist with the preparation of financial/budget spreadsheets, documentation, and/or forms; and communicate with executive director and staff regarding OEOP's policies, procedures, and financial operations. Responsibilities include monitoring and reconciling over thirty accounts/cost objects; assisting with accruals and carry-forward lists; closing outstanding and issuing new purchase orders; handling salary distribution changes; processing student appointments; reviewing, processing, and tracking payments and reconciling vendor purchases, invoices, procurement requisitions, and requests for payment; settling billing discrepancies and approving invoices/RFPs and travel expense reports; verifying credit card purchases, generating reports, and performing projections and account maintenance; assessing monthly transactions related to cost objects (FRC) to ensure that expenses and revenues are accurate, timely, complete, and properly documented; tracking submitted proposals; and performing other duties/projects as needed.
Job Requirements REQUIRED : high school diploma or its equivalent; at least three years office or administrative experience; strong organizational, time-management, interpersonal, and written and verbal communication skills; ease with both telephone and in-person contacts; flexibility; and commitment to diversity and serving diverse constituents. Must be able handle multiple tasks simultaneously; prepare minutes and short documents; perform word processing, database, and accounting functions, including some troubleshooting and system updating; maintain confidential information; and demonstrate good decision-making during unexpected situations.
