The Executive Operations/Student Services Specialist supports all of the Department of Social Work programs including the Bachelor’s and Master’s programs, the Field program, and the Center for Regional and Tribal Child Welfare Studies. The responsibilities of this position include planning and independently completing administrative projects and providing administrative coordination for Department programs; student recruitment and admissions support; support of current students with registration and progress through our programs; and managing communication with a wide range of stakeholders. This position also serves as the Graduate Program Coordinator. This position is directly supervised by the Department Head.
*This is a 10 month position. This is a 100 percent, 10-month continuous appointment with the possibility of 10-15 hours of work per week during summer months. Start date is August 16, 2021. The 10-month appointment dates for the 2021-22 academic year are August 16, 2021-June 12, 2022. Depending on availability, the new hire may begin prior to August 16 for training.

Student Support • Provide support to prospective and current students by responding to questions, supporting admissions processes, and supporting registration and progress through the programs • Manage Department communication platforms including updating website and social media, and managing Google groups and listservs for prospective and current students and alumni • Utilize the Reporting Center to provide the department with data as needed (i.e. program enrollment and demographics, etc.) • Provide support for a variety of events including orientations, information sessions, and meetings for current students • In coordination with the DGS, assign graduate students to faculty advisors • Assist new incoming and current students with registration for BSW and MSW classes including generating permission numbers and assisting students with registration navigation
Recruitment • Communicate directly with BSW and MSW applicants explaining degree outcomes, pre-requisite requirements, and the application process in coordination with Program Directors • Track and continually follow-up with all prospective BSW and MSW candidates • Update and maintain recruitment and informational materials • Track program enrollment and assist in program planning for recruitment • Actively participate in BSW and MSW recruitment events including off campus events that may require some travel
Department Support • Serve as a liaison with other departments and other units, including the Graduate School, OneStop, the Office of the Registrar and the UM Twin Cities Graduate Office • Provide support to Field Directors through facilitating student background checks • Coordinate and facilitate the admissions process for both BSW and MSW programs by tracking applications as the progress through the system, assigning applications for faculty review, tracking completion of applications, and following up with applicants on missing materials • Participate in BSW and MSW department committee meetings • Train and supervise student workers
Required Qualifications: • High school diploma/GED and four years operations and/or student support experience. Training/education may be substituted for some of the years of experience. • Demonstrated commitment to educational equity • Ability to communicate effectively, professionally, and compassionately with a variety of constituents • Strong organizational skills and attention to accuracy and detail
Preferred Qualifications: • Bachelor's degree in a related field • Two or more years of student service experience • Experience working with diverse populations • Demonstrated experience in the area of customer service including good listening, informed decision making, the ability to handle a wide range of personalities and situations and the ability to interact effectively with professionalism • Ability to multi-task in a fast-paced environment with competing priorities • Experience with PeopleSoft, Slate, Perceptive Content, Microsoft Office, Google Apps and other technical abilities • Experience creating and managing content for social media • Personal and/or professional commitment to social justice and human rights and familiarity with the social work profession, including overcoming barriers similar to those experienced by social work clients.
