Serves as the Administrative Coordinator for the facilities operations group of William James Hall. The position is the main initial contact for all departments, faculty and staff in the facilities and responsible for coordinating responses to their requests.
Acts as office manager for the facilities operations group of William James Hall and allied buildings.
Primary contact and informational resource for all faculty, researchers, staff, students, and non-Harvard constituents.
Prioritize work requests, enters requests into work order system, and keeps detailed records.
Schedules annual preventative maintenance services and other services as needed.
Orders department and building materials, processes all invoices, maintains associated purchasing files.
Monitors relevant operating and capital budgets.
Acts as security liaison. Monitor all security reports. Manage card access requests. Program all doors for after-hours events.
Maintain office calendar and calendars of building staff members.
Maintain space allocation records.
Communicate information about any building activities that affect residents to residents. Maintains call list.
Manage telecommunications services for all buildings working directly with HUIT and building occupants.
Oversees shared space scheduling. Coordinates space use with resident departments and Registrar.
Assist in creating and maintaining building database.

Business training beyond high school.
Three or more years in an administrative support position.
Proficiency with Windows, Microsoft Word, Excel, Outlook.
College background preferred. Basic understanding of mechanical, electrical, plumbing, and building systems helpful. Strong written and oral communication skills. Has the capacity to manage, prioritize, and respond to emails in a timely and concise manner. Possesses the ability to make sound and immediate decisions when dealing with stressful situations. Must be highly organized, display initiative, and follow through on assigned time-sensitive tasks and commitments. Must work well in a team environment
