Proposal Preparation and Award Management (75%) • Manage the proposal preparation and submission process from initial development through point of award for an assigned group of investigators including faculty, postdoctoral associates/fellows, graduate students, and other investigators. In addition to standard research grants, this will include preparing complex proposals for federal training grants, career development awards, program project and center-type grants, as well as for unique funding opportunities. • For each proposal submission, responsibilities include: review sponsor’s request for proposals; prepare timelines for submission; prepare budget and administrative portions of the proposal; obtain subaward documentation; finalize all parts of the proposal; prepare Proposal Routing Forms (PRFs); liaise with departmental and collegiate administration and Sponsored Projects Administration (SPA) throughout the submission process; and communicate with the sponsor as needed. • Understand and communicate sponsor and University requirements and/or restrictions regarding PI/staff eligibility, cost sharing, F&A sharing, budget limitations, other sponsor requirements, and award terms. Identify solutions to sponsor restrictions and ensure final proposal is compliant with relevant policies and guidance. • Develop budgets for sponsored projects in collaboration with the PI(s), unit administrative staff, and accounting personnel, ensuring proposals contain appropriate effort and other resources. • Obtain and complete sponsor budget and other application forms for proposals, using sponsor systems such as ASSIST, Workspace, proposalCentral, etc. • Manage the non-financial aspects of award setup and management, including submission of Just in Time information and interim and final progress reports. • Process and monitor xTrain appointments and terminations for NIH training grants, fellowships, and institutional career development awards.
Compliance and Administration (15%) • Monitor pre- and post-award compliance issues, including FCOI, RCR, sponsors’ public access policies, other support documentation, use of human subjects or vertebrate animals, etc. • Assist PIs with managing public access compliance issues. Provide guidance and support on PMC, NIHMS, and MyNCBI accounts and submissions. • Keep accounting personnel informed about issues relevant to proposals and awards. Work closely with accounting personnel to ensure an efficient transition from pre-award to post-award phase. • Ensure compliance with University research policies and procedures in all tasks. • Maintain data and electronic files on proposal and award activity. Enter data to departmental proposals and awards database; run reports and queries as needed. • Share responsibility for managing the RSS central e-mail account and online intent process and assure all requests are appropriately assigned or handled.
Development and Planning (10%) • Participate in regular RSS planning meetings regarding current issues, policy updates, workload, processes, future tool development, etc. • Assist with new departmental research initiatives as they are developed. Propose and evaluate solutions to resolve recurring problems. • Provide input on templates/job aids and additional guidance for new and experienced PIs to make processes more efficient and documents more thorough and accurate. • Continue professional development by attending relevant courses, workshops, seminars, professional society meetings and other training opportunities.
**This is a one-year temporary position. We will seek approval to make this position permanent based on available funding**

Required Qualifications: • Bachelor’s degree and four years of professional experience or a combination of related education and work experience to equal eight years. • Experience performing administrative, budgetary, or grant-related duties • Experience in technology and software as related to the needs of the position (e.g., Word, Excel, Adobe, Google suite, PowerPoint, Access or other database software, etc.) • Strong mathematical skills • Excellent team member skills and the ability to effectively interface with all levels of the organization (students, staff, faculty, central administration) • Ability to simultaneously work on multiple projects with fixed deadlines and ability to re-prioritize tasks as needed to successfully meet all deadlines • Ability to work independently with a high level of initiative, accountability, and follow-through on complex and sensitive issues • Effective problem identification and problem solving skills • Willingness to learn and grow professionally
Preferred Qualifications: • Experience working in higher education • Experience working with sponsored projects, especially with federal sponsors in a higher education setting • Administrative, financial, or other experience with clinical research
