This position provides comprehensive oversight and hands-on processing of Accounts Payable (AP) documents for U Market and U Market Services. This position makes primary recommendations in the hiring process, assigns work to, supervises, and evaluates all AP work delegated to other employees. This position also participates in and represents the department in communications with customers, vendors, and other business contacts. This position assesses all steps in the AP process, recommends modifications, and implements approved strategies in areas of responsibility.
Responsibilities for this appointment include the following:
• 60% - Oversees the processing of U Market invoices. Approves and enters (when necessary) all U Market invoices and credits through the Jaggaer eProcurement system. Researches, identifies, and resolves all discrepancies. Monitors all statements and payments to ensure correct payments and receipt of credits due. Compiles necessary metrics. • 20% - Monitors U Market Stock AP area and supervises employee(s). Supervises Executive Accounts Specialist and performs periodic audits to ensure work is completed accurately and in a timely manner. Assists as needed with complex U Market Stock invoice issues. Completes performance evaluation requirements. Provides recommendations on the most efficient staffing levels to respond to daily process needs while taking into account strategic, long-term strategies. • 10% Communicates directly with U Market Stock and ePro suppliers to resolve any discrepancies in the AP process. Reviews, evaluates and improves payables processes when needed. • 10% - Other duties. Provides/creates process and meeting documentation. Assists customers, departmental staff, and managers with process and accounting support as requested.
Essential Functions of the Position
Oversees and coordinates all AP functions and related issues. Provides guidance and advice to customers, internal stakeholders, and vendors related to AP business processes and issues. Provides the highest level of services on AP issues, responding with complete solutions in a timely, friendly, and efficient manner.
Plans and implements staffing assignments weighing resource need, optimum efficiency, and overall cost effectiveness of staffing levels and structure. Works well with all customers, employees, management, and faculty in every area of responsibility.
Annual Salary Range: $44,000 - $50,000
Most work of this position is done in a controlled office environment. Positions in this class typically require: fingering, grasping, talking, hearing, seeing and repetitive motions. Due to the interactive nature of this position, a significant amount of intra-office mobility is necessary to complete document processing and resolve vendor invoicing problems.
Minimum Qualifications BA/BS degree or a combination of related education and work experience to equal four years.
Knowledge, Skills and Abilities
Knowledge: Knowledge of computerized inventory management and Accounts Payable systems used in supply chain operations.
Skills: Highly developed proficiency and accuracy with data entry using a 10-key. Must be highly skilled in the analysis of numerical reconciliation and payment processing. Must have high attention to detail. Excel skills necessary. Ability to maintain professional relationships with suppliers and customers is an absolute requirement. Must be able to communicate effectively and positively.
Abilities: Must be able to communicate well both verbally and in writing. Ability to plan and carry out daily schedules, and monthly and fiscal year planning. Ability to balance multiple tasks effectively. Ability to work independently with minimal supervision and adapt well to variations in receiving, invoice and account statement volumes. Interact with vendors, staff and University employees from customer departments in a professional manner. Prior supervisory experience preferred.
