60% - HOT Fellowship Program and Education Coordinator • Participates in the recruitment, evaluation, and selection of fellowship candidates, such as managing recruitment events and developing recruitment materials and presentations • Develop, implement, and maintain a compelling promotional and web presence for the fellowship program across the University of Minnesota, Department of Medicine, and social media sites. • Interprets immigration regulations in relation to International Medical Graduates. Establish eligibility for training and become familiar with Medical School policies on eligible visa status for trainees. Advise fellows on resources, regulations and compliance. • Responsible for effective management and development of programmatic management tools including the Residency Management Suite (RMS). • Responsible for effective management of Canvas site for the division’s educational training programs (fellows, residents and medical students). • Assists the Fellowship Program Director and Associate Program Director with managing the fellowship program (includes agenda setting, meeting management, and administrative duties in relation to the program directors’ role). • Serve as the programmatic contact for up to 18 fellows and all medical students and residents enrolled in HOT rotations. • Coordinate schedules for three clerkships, EPAC and resident immersion rotations in the Primary Care Center Clinic and serve as programmatic contact. • Provide e-value and RMS faculty evaluation summaries to division director as requested. • Coordinate preceptor coverage for resident clinic and keep scheduling apps accurate. • Create individualized short and long-term trainee learning plans. Analyze multiple information sources to support recommendations to Program Director.
30% Accreditation and Compliance Management • Understand and ensure program’s compliance with governing bodies: Accreditation Council for Graduate Medical Education (ACGME), American Board of Internal Medicine (ABIM), University of Minnesota Medical School’s Office of Graduate Medical Education (GME), and Metro Minnesota Council on Graduate Medical Education (MMCGME). • Interface with accrediting bodies (ACGME). Analyze program data to ensure conversion to accrediting body systems and requirements. Oversee process of annual program updates. • Monitor and maintain a detailed knowledge of national governing boards physician training requirements. Formulate and recommend program level solutions in response to policy changes. • Monitor Program Agreements for validity. Initiate contract renewals and manage domestic and international process.
10% - Budgetary Management and Oversight • Compile and analyze historical and anticipated budget data, prepare and recommend budget for approval, and monitor spending.
Required Qualifications: (Must be docuemented on application materials or resume)
BA/BS OR a combination of education and relevant administrative experience, such as program planning, to total four years
Computer experience to include Microsoft Office (Word, Excel and PowerPoint), Google Apps (Gmail, Calendar, Drive, Docs, Sites)
Ability to take initiative on multiple tasks, work independently, and take direction
Interpersonal skills, including the ability to communicate in an effective, professional manner (both written and verbal)
Ability to anticipate and meet multiple deadlines
Proficiency with Adobe Acrobat
Previous University of Minnesota experience, such as Electronic Financial System (EFS)
Experience working with physicians in an academic or health care setting
Experience with resident/fellow/medical student tracking and scheduling system
Ability to work occasional non-standard work hours to coordinate programmatic activities
