This position provides administrative, clinical and operational support to the Oral Health Clinical Research Center, Clinic Director, Coordinator and faculty members of the Oral Health Clinical Research Center located in the School of Dentistry.
Greet faculty, staff, students and visitors to the office, responding to questions and inquiries (in person, email or via telephone).
Provides administrative assistance as needed (photocopying, telephone or clerical services) to all members of the Oral Health Clinical Research Center.
Electronic calendaring for Director, faculty and staff, scheduling meetings, locations, etc.
Order office, clinic and lab supplies (through purchase orders and UMarket) in accordance to University policies. Prepare asset receipts for equipment.
Receive and process invoices for payment electronically. Follow up on delayed orders.
Reconcile purchasing cards for others and self within the clinic.
Ensure receipt and distribution of mail.
Work with Clinic Coordinator to process and distribute patient payments, per study directions.
Assist in collecting documents and provide administrative support for faculty, students, and Coordinator in all stages of clinical research trials.
Provide itineraries for visiting donors, vendors of the clinic.
Provide conference room scheduling in coordination with other clerical staff.
Establish and maintain an efficient filing and distribution system.
Regularly evaluate processes and make recommendations to improve efficiency.
Comply with University policy for training updates, new programing etc.
Attend and participate in training and meetings as required by Director, School of Dentistry and University.
Comply with University policy regarding new programing procedures.
Other duties as requested.
The duties will require some light to moderate lifting as well as walking and standing for long periods of time.
Hourly Salary Range: $16.18 to $27.21 USD/hour

High School Diploma/GED and four years of related office experience. Training/education may be substituted for some of the years of experience.
Computer experience required, with demonstrated proficiency in Microsoft Office Suite and Google Applications.
Experience in making travel arrangements for executives, faculty, or similar; experience with expense reimbursements for travel and/or conference fees, etc.
Experience working with confidential data (student, health records or financial data) and demonstrated high level of confidentiality is required for this position
Demonstrated experience in oral and written communication, writing clear, concise letters or e-mail messages with accurate spelling, punctuation, and grammar.
Demonstrated experience in using interpersonal, organizational and problem-solving skills, multi-tasking, working independently, showing initiative, and meeting deadlines.
Exceptional customer service skills and professional demeanor are critical to success in this position.
Demonstrated ability to independently solve problems and answer questions from students, staff and faculty; refer to the Division Director and other offices as needed.
Experience scheduling meetings and small events and taking minutes in meetings.
Experience with financial processing including, but not limited to: purchasing card reconciliation, purchase orders and reimbursement.
Demonstrated experience managing and manipulating spread sheets including mail merges/data entry, ability to handle confidential material, event planning and project management.
Experience supporting graduate or undergraduate student programs.
Experience in health science or dental field.
Demonstrated ability to accurately complete time-sensitive work with high attention to detail.
Demonstrated ability to maintain established work standards and procedures, as well as adapt easily to procedural changes.
Trained in the UMN EFS system for purchasing, travel and expense reimbursement desired.
