Responsibilities: The Department Administrator is the main liaison between the department, the clinical practice, the research facility and the Executive Director of Lions Gift of Sight (LGS). This position has responsibility over the operations of the department, both academically and clinically in collaboration with Medical School Administration.
This Position reports to the Department Chair. The Department Administrator is responsible for department administrative and operational activities, including serving as the department liaison with UMPhysicians (UMP) for clinical operations.
50% Directs General Administrative Services: • Assurance of proper communication between the department and multiple entities (UMP, UMN Health, Medical School finance and HR, clinics, and billing). • Manages the daily and strategic operations of the department, including overseeing the operations of units/programs within the department and advising unit administrators and staff. • Consultant on activities relating to the department including short- and long-term project management and planning, such as expansion of the clinical practice, developing of other practice locations and a stand-alone Eye Institute. • Consults/participates with Department Chair, faculty, program and fellowship directors, clinic manager and Medical School Finance and HR staff to develop and implement programs, policies, operational changes and strategic priorities and planning. • Responsible for department administrative and operational activities. • Responsible for department administrative and operational activities; and serves as confidential advisor to the head on administrative and management issues. • Coordinates process for departmental meeting and planning activities: o Maintain agenda and tasks. o Compose minutes. o Follow-up on tasks.
15% Finance: • Partner with Medical School Finance on financial performance of Department: o Review and direct spending o Monitor and manage deficits o Budgeting ï‚§ Clinical budget ï‚§ Academic budget o Physician compensation o Forecasting for both clinical and academic budgets o Review and monitor monthly financial statements o Establish financial procedures and processes • Directs and leads oversight of operation and capital investments. • Works in partnership with Medical School Finance on grant management, pre- and post-award administration and research budgets.
10% Clinical Excellence: • Works with UMP to advance the clinical mission. • Works with physicians to maximize clinical performance and patient care. • Partners with physicians regarding site deployment and clinical schedules. • Partners with clinical operations staff to create efficiencies and ensure clinic performance is in alignment with expected performance metrics. • Partners with UMP Human Resources, Performance Improvement, Compliance and Contracting for seamless services to physicians and other stakeholders.
10% Human Resources: • Works in partnership with Medical School Human Resources staff to: o Develop ads o Review applications o Preparation for interviews o Assist with drafting offer letters by supplying details of offer o Retention and succession planning • Direct and lead new faculty and UMP-only provider on-boarding: o Liaison with credentialing contact to ensure seamless credentialing and provider enrollment prior to start date o Set schedules o Access to appropriate clinical and other enterprise systems • Lead team of five full-time staff reports and temporary/casual employees: o Coach, counsel and develop staff o Manage workflow o Manage performance o Manage personnel issues • Hold regular staff meetings as required. • Direct and develop on going work culture environment/engagement. • Develop and administer departmental polices and procedure as needed.
15% Lions Gift of Sight: • Support the Executive Director • Assist Minnesota Lions Vision Foundation (MLVF) Treasurer with determining best practices for deposit of checks received by LGS on behalf of MLVF for tissue distribution • Liaison and support to LGS operations and staff. • Finance o Assist Executive Director in developing and preparing annual budget o Review and monitor monthly financials statements o Assist in establishing financial procedures and processes • Serve as Human Resources liaison to Medical School as necessary

Required Qualifications: • Bachelor’s degree in business administration, health administration, management or related field with a minimum of six years of relevant work experience. • Demonstrated ability to develop professionally and assume increasing levels of responsibility. • Management experience including supervision of professional staff and working with high-level executives. • Excellent analytical, operations and communications skills. • Demonstrated collaboration skills applied across different organizations and operating structures. • Ability to balance creating and implementing strategies while maintaining operational excellence in core services.
Preferred Qualifications: • Master’s or PhD degree in business administration, health administration, operations management or related field. • Administrative/managerial experience in a health care, clinical academic medicine, medical research or similar setting. • Experience with strategic planning and operations management, preferably with multi-site clinical operations, annual budgets and research and service grant/contract operations. • Experience managing and working with multi-disciplinary teams, focused on performance and results and monitoring of multiple operations/activities.
