The accounts payable specialist position will be responsible for providing excellent customer service to students, staff, faculty and vendors through timely and accurate accounts payable processing and office support.
Enter and process accounts payable on a daily basis. Duties include:
Entering service, contract, travel reimbursements, payment authorization, and invoices into accounts payable module for payment.
Matching purchase orders to invoices
Verifying expenditure authorization and coding
Weekly check and ACH runs
Filing checks and ACH support weekly
Ensure W-9 information is submitted for new vendors
Process weekly Student Credit Refunds via direct deposit and check.
Maintain vendor profiles and recurring payment listing. Verify legitimacy of new vendors and keep recurring payments listing updated.
Annual review of vendors to ensure vendor information such as addresses is correct.
Ensure payments are made timely. Verify invoices have proper authorization and general ledger account coding.
Create and upload monthly accounting journal entries
Respond to vendor and staff inquiries; research and investigate accounts payable issues.
Prepare annual 1099-Misc tax forms.
Monthly account and vendor statement reconciliations.
Two (2) years of specialized/formal education beyond high school, or equivalent required, preferred major in business, accounting or related field.
Minimum of two (2) years of business experience and/or a combination of education and business experience of four (4) years or more.
Experience with Accounts Payable and account reconciliations.
Proficient in Microsoft Office Suite including Word and Excel.
Ability to work effectively in a diverse work environment.
Non-profit accounting experience.
